DEMOTEAM INFORMATION AND RULES SEASON 2026-2027

1. General code of conduct

All demoteamleden is expected dat zij at trainingen, optredens, wedstrijden and andere afspraken op tijd aanwezig zijn and the afgesproken kleding dragen. De outfit moet altijd compleet, schoon and verzorgd zijn.

During the twee uur durende trainingen are the mobiele telefoons van the dancers uitgeschakeld and gezamenlijk opgeborgen. Zo is afleiding forkomen and kan iedereen zich volledig op the training concentreren.

2. Active membership and regular dance classes

Every demo team member must be actively registered with FLXN Dance School Eindhoven.

In addition to the regular demo team training, each member attends one or more regular FLXN dance classes. The number included depends on the team and membership package:

  • X-Flux members attend one regular FLXN class per week;
  • X-Fresh members attend one regular FLXN class per week;
  • X-Flow members attend two regular FLXN classes per week;
  • X-Fearless members attend one regular FLXN class per week;
  • X-Flawless members attend two regular FLXN classes per week.

These regular classes are taken in addition to the demoteam’s choreography and technique training. Open classes and masterclasses are not included in the fees.

If a dancer wants to take more regular classes than are included in their package, these must be booked and paid for separately.

3. Reporting illness and cancellations

If you are unable to attend a training session, performance, competition or activity due to illness or another valid reason, let the trainer know directly as soon as possible, by phone or message.

Appointments with, for example, a GP, doctor or dentist, and personal activities such as parties, should be scheduled outside training times as much as possible. It is important that the whole team is present at training.

If absent, dancers are expected to catch up on missed material in their own time. A video of the missed training session may be used for this. Dancers must be sufficiently prepared to rejoin the team at the next training session.

4. Injuries in the run-up to performances and competitions

If a demo team member is injured within four weeks of a performance or competition and can no longer take part in training in full, the dancer cannot participate in that performance or competition.

Ook at een blessure is van the danser expected dat hij of zij at the trainingen aanwezig is. In atzondere situaties kan hierover are overlegd with the trainer and the bestuur van FLXN.

5. Organisation and communication relating to the demoteam

All communication and organisation relating to performances, training, activities, demoteam clothing, media and the provision of information is handled through FLXN.

Small-scale initiatives, such as collecting bottles or taking part in a flea market, may be exceptions.

A team member or parent may make initial contact with an external party. However, final arrangements must always be made centrally through FLXN, Sandra or Sandy.

6. Demoteam clothing

Each team has its own demo team outfit, which must be purchased at the start of the new season. All demo team members are expected to take good care of their outfits and accessories, so they are complete, presentable and in good condition for competitions and performances.

Demoteam clothing may only be worn during performances and competitions. It must be used until the demoteam clothing for the following season has been issued.

At the start of the season, each demoteam member pays an amount of € 175,- to FLXN for the outfit. FLXN manages this amount and purchases the garments itself. The amount includes the general uniform and excludes shoes.

If money is left over after purchasing the clothing, it will be put into a shared fund. This fund will be used to organise activities for the team concerned.

Per team is bekeken welke schoenen nodig zijn and of deze binnen the beschikbare kledingbudget kunnen are aangeschaft. Wanneer the schoenen niet binnen the budget passen, informeert FLXN the dancers and parents over the kleur and eventuele andere eisen waaraan the schoenen moeten voldoen. De schoenen moeten in dat geval zelf are aangeschaft.

Tevens beschikt ieder demoteamlid over een algemeen uniform. Bij aankomst op een wedstrijd, optreden of andere activiteit and gedurende the rest van the dag of activiteit draagt the danser te allen tijde the algemene uniform.

During the optreden of the wedstrijd is the atbehorende demoteamoutfit gedragen, tenzij anders is aangegeven door the trainer, Sandra of Sandy.

7. Sponsorship

All demoteams may look for sponsors themselves. Subject to conditions set in advance, a sponsor logo may be displayed on items such as tracksuits or team bags.

The sponsor and brand name must be submitted to FLXN for approval in advance. FLXN will assess whether the sponsor fits the dance school’s identity, look and image.

7a. Sponsorship terms

Per team is er ruimte om een sponsornaam en/of sponsorlogo op the algemene uniform te laten plaatsen. FLXN verzorgt the plaatsing van deze uiting. De atbehorende kosten are door the sponsor betaald.

It is also possible to perform in return for sponsorship. Sandy must always be informed in advance of the intention to perform somewhere.

7b. Sponsorship rates

Current sponsorship rates are available from FLXN.

7c. Allocation and management of sponsorship funds

All sponsorship funds raised are allocated in full to the team concerned. Each team receiving sponsorship funds appoints a treasurer, who keeps a clear financial record accessible to team members and FLXN management.

Due to the 21% VAT treatment, FLXN does not receive the sponsorship money directly. The sponsorship amount is therefore managed by the team’s appointed treasurer.

8. Travel and transport

Omdat the bestemming per wedstrijd, optreden of activiteit kan verschillen, is per gelegenheid bekeken of gezamenlijk busvervoer mogelijk is.

When bus transport is arranged, the maximum personal contribution is € 15,- per trip. If shared bus transport is not feasible, the dancers and parents are responsible for transport themselves. Car-sharing is preferred.

9. Competitions and performances

Each team’s competition and performance schedule is set and communicated as soon as possible.

Entry fees for a regular competition vary by organiser and are generally between € 10,- and € 30,-. As soon as the final costs are known, the dancers and parents will be informed.

Taking part in a European or World Championship involves different and often higher costs. These events may take place abroad and usually last several days. The options and associated costs are therefore discussed with each team in advance.

FLXN 2.0: PERSONAL DEVELOPMENT, CREATIVE DIRECTION AND RESPONSIBILITY

With FLXN 2.0, FLXN is choosing to provide more active, personal and professional support for all demo team members. The development of each individual dancer is central, without losing sight of the team’s collective growth, discipline and quality.

10. Personal development goals

At the start of each season, an individual development meeting is held with every dancer. Clear agreements are made during this meeting about the dancer’s goals and areas of focus for the coming season.

These arrangements may include, among other things:

  • Dance technique and performance;
  • Uitstraling and performance;
  • Musicality and presentation;
  • Commitment and attitude to training;
  • Discipline and attendance;
  • Samenwerking binnen the team;
  • Confidence and independence;
  • Processing and applying feedback.

Development goals are recorded as concretely as possible and form the basis for supporting the dancer throughout the season.

For underage dancers, relevant arrangements and points of concern may also be discussed with a parent or guardian.

11. Active monitoring and evaluation

Within FLXN 2.0, the development of each dancer is monitored more actively and strictly than before.

Throughout the season, the demoteam coach observes not only the end result, but also each dancer’s development, commitment, attitude and progress. Feedback is therefore given not only at scheduled review points, but also directly during and after training.

Van iedere danser is expected dat hij of zij:

  • Actively works towards the agreed development goals;
  • Ontvangen feedback serieus neemt;
  • Makes a visible effort to apply feedback;
  • Responsibility neemt for the eigen ontwikkeling;
  • Indicates in good time when extra support is needed.

Several evaluation meetings take place during the season. These meetings discuss the progress made, any outstanding areas for improvement and whether previously set goals need to be adjusted.

If a dancer repeatedly fails to honour agreements, does not adequately act on feedback or shows insufficient commitment, FLXN does not have to wait until the next scheduled review. An interim meeting can be arranged straight away with the dancer and, where applicable, their parent or guardian.

FLXN may then make additional arrangements, start a personal improvement plan, issue a warning or reassess the dancer’s position within the demoteam.

Trial period

All dancers start the season with a one-month trial period.

During deze maand is onder andere beoordeeld of:

  • The dancer’s level is a good fit for the team;
  • The dancer shows sufficient commitment and motivation;
  • Commitments are kept;
  • Feedback is welcomed and acted upon;
  • The dancer fits within the group and FLXN’s way of working.

The first evaluation takes place at the end of the trial period. FLXN then decides whether participation in the team can continue permanently and which development points will apply for the rest of the season.

12. Sandy’s active creative role

Within FLXN 2.0, Sandy has a more active, creative role in overseeing the quality of demoteam show development.

Sandy is niet uitsluitend betrokken at the uiteindelijke goedkeuring, maar creëert samen with the demoteamcoach actief mee aan the volledige verhaal and totaalbeeld van the show.

This may include, among other things:

  • The show’s concept and theme;
  • The artistic direction and look;
  • The structure and coherence of the show;
  • Music selection and mixes;
  • Choreography and staging;
  • Clothing, styling and presentation;
  • The team’s appearance on stage;
  • How well the show aligns with FLXN’s identity.

The demoteam coach remains responsible for day-to-day training, preparation and delivery. Together with the coach, Sandy oversees the show’s artistic quality, standard and distinctive FLXN look.

All music mixes, choreography, clothing choices, concepts and stage presentations must ultimately be approved by Sandy Provacia, owner and creative lead of FLXN Dance School Eindhoven.

13. Demoteam coach responsibilities

FLXN guarantees that every demoteam coach puts the dancer’s growth and development first.

The coach is responsible for a safe, professional and supportive training environment in which every dancer can continue to develop technically, artistically and personally.

Van iedere demoteamcoach is expected dat hij of zij:

  • Trainingen goed forbereidt and doelgericht opbouwt;
  • Rekening houdt with the individuele ontwikkeldoelen van the dancers;
  • Continuously monitors each dancer’s development;
  • Gives clear, specific and useful feedback;
  • Actively follows through on agreements made and areas for improvement;
  • Makes dancers’ progress a topic for discussion;
  • Tijdig communiceert with dancers and parents of verzorgers;
  • Professioneel samenwerkt with Sandy and the directie van FLXN;
  • Records noteworthy matters, incidents and recurring problems;
  • Pass important information on to FLXN management immediately.

Among other things, the coach must inform the management immediately when a dancer:

  • Repeatedly arrives late;
  • Does not attend a training session without notice;
  • Does not report their absence or does so too late;
  • Repeatedly fails to keep commitments;
  • Onvoldoende inzet of motivatie laat zien;
  • Repeatedly fails to respond to feedback;
  • Storend, respectloos of onveilig gedrag vertoont;
  • Hinders development or cooperation within the team;
  • Regels van FLXN of the demoteamreglement overtreedt.

The coach does not wait for several situations to build up. By communicating concerns promptly, FLXN management can get in touch in good time, make arrangements and take immediate action where needed.

The demoteam coach also maintains clear and professional communication with parents and guardians. Concerns about a dancer’s development, attendance, attitude or commitment are not unnecessarily delayed.

The coach, Sandy and management jointly decide what support or next steps are appropriate in each situation.

14. Team allocation and composition

FLXN and Sandy reserve the right at all times to change teams and team line-ups whenever deemed necessary.

This may mean, for example, that a dancer takes on a different role or position within the team, moves to another team, or that a team is reorganised during the season.

When making these decisions, the following may be considered, among other things:

  • The dancer’s level and development;
  • Commitment, motivation and training attitude;
  • Attendance and keeping commitments;
  • Behaviour and teamwork;
  • The team’s balance and dynamics;
  • The artistic and creative needs of the show;
  • The safety, quality and functioning of the team;
  • Organisatorische omstandigheden binnen FLXN.

Being placed in a team at the start of the season does not guarantee an unchanged place, role or team line-up for the entire season.

If a change is needed, it will be communicated as clearly as possible to the dancer concerned and, where applicable, their parent or guardian. The final decision on team allocation and composition rests with FLXN and Sandy.

WARNINGS AND REMOVAL FROM THE TEAM
15. Conduct, motivation and meeting development commitments

When a trainer, Sandy or the management speaks to a dancer about behaviour, motivation, commitment, performance or personal development goals, the dancer is expected to actively work on these.

A clear improvement in attitude, commitment or application of feedback received must be visible within the agreed period.

Repeatedly ignoring feedback, failing to work towards agreed commitments or consistently showing insufficient effort may be recorded as an incident.

16. Absence and lateness

A dancer may miss no more than two training sessions per season, provided the absence is reported to the trainer in advance and with a valid reason en is reported to the management.

Onder geldige redenen vallen atforbeeld:

  • Illness;
  • Verplichte schoolactiviteiten;
  • Exceptional family circumstances;
  • Other situations approved in advance by the coach or management.

Parties, outings and other personal activities that can be planned are not considered valid reasons.

Appointments with, for example, a GP, dentist or other healthcare professional should, where possible, be scheduled outside regular training times.

Lateness, failure to attend and absences without timely notice are recorded by the coach and reported to management immediately.

If a dancer misses a training session, they remain responsible for catching up on the missed material. If training materials or a video are available, the dancer must study them independently. They are expected to be as well prepared as possible for the next training session.

17. Attendance at compulsory activities

All demoteamleden is expected dat zij deelnemen aan the geplande optredens, wedstrijden, repetities, sponsoractiviteiten and overige verplichte teamactiviteiten die door FLXN are aangegeven.

This also applies to activities intended to:

  • To present the team;
  • Recruit new members;
  • Sponsoren te werven of te bedanken;
  • Represent FLXN;
  • Prepare the show together.

When an activity has been communicated in good time as compulsory, every team member is expected to attend.

Absence is only permitted after consultation with and approval from the coach or management.

18. Warnings, incidents and removal from the team

Incidents involving behaviour, motivation, attendance, lateness, failure to keep agreements and absence from compulsory activities are recorded.

Depending on the situation, FLXN may:

  • Have a verbal conversation;
  • Make additional arrangements;
  • Contacting parents or guardians;
  • Start a personal improvement plan;
  • Issue an official warning;
  • Withdraw participation in a performance or competition;
  • Reassess the dancer’s position within the team.

After a third recorded breach or third incident, the team member concerned may be removed from the demoteam.

In cases of serious, aggressive, intimidating, disrespectful or unsafe behaviour, FLXN may take immediate action. In serious situations, FLXN does not have to wait for three incidents or warnings.

19. Conduct of team members, parents and spectators

FLXN stands for a close-knit dance family and a positive, professional and respectful image.

Van demoteamleden, parents, verzorgers and meegebrachte toeschouwers is expected dat zij zich zowel binnen als buiten the dance school op een respectvolle manier gedragen.

Parents and verzorgers spreken andere dancers of parents of organisaties/ juryleden niet zelfstandig aan op klachten, irritaties of situaties die betrekking hebben op the demoteam. Vragen, zorgen, opmerkingen of klachten moeten rechtstreeks at the demoteamcoach of the directie van FLXN are neergelegd.

Respectloos, intimiderend, discriminerend, agressief of ongecontroleerd gedrag is niet geaccepteerd. Dit geldt ook for gedrag dat the veiligheid, the trainingsplezier, the samenwerking of the reputatie van FLXN schaadt.

A demoteam member or parent can always contact management if something comes up. This allows the situation to be discussed carefully and FLXN to act in good time.

If a demo team member, parent or guardian behaves seriously inappropriately, FLXN may decide to remove the team member from the demo team without prior warning.

Parents, verzorgers of meegebrachte toeschouwers die zich during trainingen, wedstrijden, optredens of andere activiteiten misdragen, kunnen for een door FLXN te bepalen periode are geschorst of the toegang tot activiteiten are ontzegd.

P.S. Alle muziekmixen, choreografieën, kledingstukken, kledingkeuzes, concepten and teampresentaties moeten are goedgekeurd door Sandy Provacia, eigenaar and creatief eindverantwoordelijke van FLXN Dansschool Eindhoven.
